The terms governing appointments, assessments, treatment and use of services provided by Regent Psychiatry Ltd.

Introduction

These Terms and Conditions (“Terms”) govern the provision of services by Regent Psychiatry Ltd (“Regent Psychiatry”, “we”, “us” or “our”) and your use of our website at https://regentpsychiatry.co.uk/.

They apply, where relevant, to:

  • psychiatric consultations;
  • diagnostic assessments;
  • Adult ADHD assessments;
  • Adult Autism assessments;
  • general adult psychiatry;
  • medication initiation, review and optimisation;
  • ADHD medication titration and follow-up;
  • shared-care arrangements;
  • psychiatric second opinions;
  • mental capacity assessments;
  • occupational mental health assessments;
  • medico-legal assessments and reports;
  • professional referrals;
  • remote consultations; and
  • other services provided by Regent Psychiatry.

Please read these Terms carefully before booking, instructing or using our services.

Important

Nothing in these Terms is intended to exclude or restrict any legal rights that cannot lawfully be excluded, including applicable consumer rights.

Clinical Services

Regent Psychiatry provides specialist psychiatric assessment, treatment and related professional services.

Clinical services will be provided with appropriate professional care and skill and in accordance with applicable professional and legal obligations.

The precise service provided will depend upon:

  • the purpose of your referral or appointment;
  • the information available to the clinician;
  • your clinical presentation;
  • the clinician's professional judgement;
  • any investigations or supporting information required; and
  • whether the requested service is clinically appropriate.

Booking an appointment does not guarantee a particular diagnosis, treatment recommendation, medication, prescription, report conclusion or clinical outcome.

Appointments

Appointment requests are subject to availability and clinical suitability.

An appointment is not treated as confirmed until Regent Psychiatry has confirmed the booking to you.

You are responsible for providing accurate contact information and checking the details of your appointment, including:

  • the appointment date;
  • appointment time;
  • whether the consultation is remote or face-to-face;
  • any preparation required; and
  • any documents or information requested before the appointment.

Please notify us promptly if any appointment information appears to be incorrect.

Information You Provide

Safe and appropriate psychiatric assessment depends upon accurate and sufficiently complete information.

You should therefore provide, where relevant:

  • accurate personal information;
  • your medical and psychiatric history;
  • details of current and previous medication;
  • known allergies or adverse medication reactions;
  • relevant previous diagnoses;
  • relevant treatment history;
  • information about other healthcare professionals involved in your care;
  • relevant medical records or reports where requested;
  • information concerning risk or safeguarding where relevant; and
  • any material change in your circumstances or health.

Failure to provide relevant or accurate information may affect the clinician's ability to assess, diagnose, prescribe or make appropriate recommendations.

Fees and Payment

Fees for consultations, assessments, reports, prescriptions and other services will be communicated to you before the relevant service where reasonably practicable.

Unless otherwise agreed, you are responsible for paying fees associated with services you request.

Payment may be required:

  • at the time of booking;
  • before an appointment;
  • following an appointment;
  • before preparation or release of a report; or
  • in accordance with an invoice or separate written agreement.

Where additional work is required beyond the service originally agreed, any additional fee will normally be communicated before that additional work is undertaken where reasonably practicable.

Cancellations and Rescheduling

If you need to cancel or reschedule an appointment, please notify Regent Psychiatry as soon as possible.

Any appointment-specific cancellation policy, notice requirement or cancellation fee will be communicated to you during the booking process or before the appointment is confirmed where applicable.

Any cancellation charge will be applied subject to applicable consumer law and will not affect rights that cannot lawfully be excluded or restricted.

Late cancellation or non-attendance

Late cancellations and missed appointments can prevent the appointment time from being offered to another patient. Where a cancellation or non-attendance charge applies, this will be governed by the cancellation terms communicated when the service is booked.

Consumer Cancellation Rights

Where you enter into a qualifying consumer contract with us at a distance, including online or by telephone, statutory cancellation rights may apply under UK consumer law.

Where applicable, a consumer may have a statutory cancellation period beginning when the relevant service contract is entered into.

If you expressly request that a service begins during an applicable statutory cancellation period, you may be required to pay a proportionate amount for services supplied before you cancel.

Where a service has been fully performed in circumstances where the law permits the statutory cancellation right to end following the appropriate request, consent and acknowledgement, the right to cancel may no longer apply.

Statutory rights

These Terms do not remove any cancellation, refund or other rights available to you under applicable UK consumer law.

Cancellation by Regent Psychiatry

Occasionally, Regent Psychiatry may need to cancel, postpone or rearrange an appointment due to circumstances including:

  • clinician illness;
  • unforeseen clinical circumstances;
  • technical failure;
  • circumstances outside our reasonable control; or
  • concerns that the planned appointment or service is no longer clinically appropriate.

Where this occurs, we will aim to notify you as soon as reasonably practicable and, where appropriate, offer an alternative appointment or address any payment for a service that cannot be provided.

Remote Consultations

Some consultations may be provided by telephone or secure video consultation.

For remote appointments, you are responsible for:

  • ensuring that your device is functioning;
  • maintaining a suitable internet or telephone connection;
  • participating from a reasonably private location where possible;
  • ensuring that you can communicate safely and confidentially; and
  • informing the clinician of your physical location if requested for clinical or safety reasons.

Technical problems may occasionally interrupt a remote consultation. Where this happens, the clinician will use reasonable judgement to determine whether the consultation should continue by another method or be rearranged.

Medication and Prescriptions

Medication will only be prescribed where the treating clinician considers it clinically appropriate and lawful to do so.

An assessment does not create an automatic entitlement to:

  • medication;
  • a particular medication;
  • a particular dose;
  • continued prescribing;
  • controlled medication; or
  • transfer to a shared-care arrangement.

Clinical decisions may depend upon appropriate monitoring, medical history, physical observations, investigations, treatment response, safety considerations and information from other healthcare providers.

You should take medication only as prescribed and inform the clinician promptly of significant side effects, adverse reactions or relevant changes in your health.

Shared Care With GPs

Where clinically appropriate, Regent Psychiatry may recommend or request a shared-care arrangement with your GP.

A shared-care recommendation does not guarantee that your GP or NHS service will agree to assume prescribing or monitoring responsibilities.

Decisions made by an independent GP practice or other healthcare organisation remain the responsibility of that organisation.

If a proposed shared-care arrangement is not accepted, alternative private follow-up or prescribing arrangements may need to be considered and may involve additional fees.

Clinical Letters and Reports

Where a consultation or assessment includes preparation of a clinical letter or report, the report will reflect the clinician's professional opinion based upon the information reasonably available at the relevant time.

Reports may require:

  • review of supporting records;
  • questionnaires or assessment material;
  • information from third parties;
  • additional clinical clarification; or
  • completion of the clinical assessment.

Estimated report times are not guarantees where completion depends upon information or circumstances outside Regent Psychiatry's reasonable control.

Professional Referrals

Referrals from GPs, solicitors, employers, occupational health providers and other organisations may be subject to separate instructions or contractual arrangements.

Where another organisation is responsible for payment, the commissioning arrangements should be confirmed before the service takes place.

Unless expressly agreed otherwise, the existence of a referral does not make Regent Psychiatry responsible for obtaining payment from a third party on your behalf.

Emergencies and Urgent Care

Regent Psychiatry is not an emergency service.

The website, email service, appointment system and routine clinical services should not be used where immediate emergency assistance is required.

If you believe that you or another person is in immediate danger or requires emergency medical assistance, you should use the appropriate emergency healthcare services.

Messages sent to Regent Psychiatry outside an arranged clinical consultation may not be reviewed immediately and should not be relied upon as an emergency communication channel.

Confidentiality and Personal Information

Regent Psychiatry takes patient confidentiality and data protection seriously.

Personal and clinical information will be handled in accordance with applicable law, professional confidentiality requirements and our Privacy Policy .

Use of Our Website

Information published on the Regent Psychiatry website is provided for general information about the practice and its services.

Website information is not intended to:

  • provide an individual psychiatric diagnosis;
  • replace a clinical assessment;
  • constitute personalised medical advice;
  • replace emergency healthcare; or
  • establish a clinician-patient relationship merely because the website has been accessed.

You should not make significant healthcare decisions solely on the basis of general information appearing on this website.

Acceptable Website Use

You must not knowingly use our website:

  • unlawfully;
  • fraudulently;
  • to introduce malicious software;
  • to attempt unauthorised access to our systems;

Regent Psychiatry does not seek to exclude the statutory obligation to provide consumer services with reasonable care and skill.

Subject to applicable law, Regent Psychiatry is not responsible for loss caused by matters outside its reasonable control or by inaccurate, incomplete or materially withheld information supplied to the clinician, where that information materially affects the service provided.

Clinical medicine involves professional judgement and uncertainty. No particular diagnosis, treatment response, medication outcome or other clinical result can be guaranteed.

Your statutory rights remain protected

No provision of these Terms is intended to exclude, restrict or limit liability or consumer rights where the law does not permit us to do so.

Circumstances Beyond Our Control

Regent Psychiatry will not be responsible for delay or failure caused by circumstances genuinely outside our reasonable control.

Such circumstances may include:

  • significant telecommunications failure;
  • internet or hosting disruption;
  • widespread service outages;
  • severe weather;
  • major transport disruption;
  • emergency public health measures;
  • sudden clinician incapacity; or
  • other comparable circumstances.

We will take reasonable steps to minimise disruption and rearrange affected services where appropriate.

Changes to These Terms

We may update these Terms periodically to reflect:

  • changes to our services;
  • changes in clinical practice;
  • changes to payment or administrative arrangements;
  • changes to our website; or
  • changes in legal or regulatory requirements.

The current version will be published on our website and the “Last updated” date will be amended.

Changes will not retrospectively remove rights that have already arisen under an existing contract where doing so would be unlawful.

Severability

If any provision of these Terms is found to be invalid, unlawful or unenforceable, the remaining provisions will continue to apply to the extent permitted by law.

Third-Party Rights

Except where expressly provided or required by law, a person who is not a party to an agreement with Regent Psychiatry does not acquire rights to enforce these Terms merely because they may benefit from them.
